File Sharing is Not Enough

Think of the most important documents you deal with: contracts, proposals, RFPs, and presentations. They all change quickly. New content is added, elements deleted, and modifications made. How do you get the latest version to your colleagues? Email attachments equals inbox overload. Links to a shared drive means no versioning control.

At the same time your content is built by multiple team members. A proposal has pricing from Finance, positioning from Marketing, and responses from Legal. File sharing in this everyday scenario causes a whirlwind of versions and mixed content. You’ll have to sort through new content and struggle to keep a master document accurate. All while links to new documents fill your inbox...

Security: Calling in the Professionals

I used to have it easy at tax time. Complete one simple form and my taxes were done for another year. April 15, standard tax day in the US, doesn’t pass so easily anymore. A house, a family, and a lot of daycare mean more time navigating forms late in the evening. Shortcuts aren’t an option with something so important, so it is time to call in the professionals.

Accountants, lawyers, and other professionals are imperative. Their breadth of experience and focused knowledge on highly complex subjects saves time and frustration. Letting the professionals do what they do best lets you focus on what you do best: like your business or getting to bed before midnight on April 15. Continued.

10 Cloud-Based Apps That Give Mid-Sized Companies a Competitive Edge

There’s really no excuse for not using cloud-based applications. There are so many B2B cloud apps that are proven and popular. It’s more about a mindset change. Recently, I was delighted to read in InformationWeek that 74 percent of SMBs will be increasing their spending on cloud-based software this year. After all, with SaaS, what’s not to like – scalability, no expensive hardware to maintain, anytime/anywhere accessibility and, one of my favorites, constant innovation cycles.

I’m always eager to find out which cloud apps are being used by mid-market organizations to fuel their business engines and, based on my discussions with peers and customers of KnowledgeTree’s cloud-based document management solution, here’s the list I compiled:

KnowledgeTree customer wins - we're listening

Today we announced that KnowledgeTree signed record new numbers of customers in December. Rather than spend time patting ourselves on the back (I’ll leave that to our great PR team), I want to focus on what’s really important here – you, the customer, and the clear validation you have provided us that KnowledgeTree is solving your business problems.

When we drafted the press release, we heard from customers such as Orbitz, Vasomedical, Fuji Chemical, Ocean Law Group (and many others) about how KnowledgeTree was helping them with daily challenges around compliance, document sharing and content access. Features that enable the easy sharing of documents with anyone inside or outside an organization via email invitation, and the ability to collaborate with any number of users without additional subscription fees, came about directly from listening to your feedback.

That feedback comes in many forms and I want to encourage you to keep talking with us. Our social CRM portal gives us great insight into how you are using KnowledgeTree and might want to use it in the future. Our sales and support teams work closely with our product managers and developers to pass along what they hear arising from support calls. In short, we are listening, so keep it coming.

Although our customer and revenue growth is cause for celebration, it’s also a good time to gratefully acknowledge the dedication of the KnowledgeTree team and to thank our customers for their business and for their confidence in our product.

Enterprise 2.0 Boston Conference in June

If you’ve been following our Twitter feed this week, you know we’re very excited to be partnering with three outstanding companies for a potential panel at the Enterprise 2.0 Conference this June in Boston.

We put together a strong proposal for the SocialCRM category that features executives (and friends) from Zendesk, MindTouch, and SugarCRM. It’s called “Understanding Content: The Heart of Successful Social CRM” and will tackle best practices for creating, managing and interacting with content, whether it's customer help desk data, contracts and legal documents, sales information, or organizational strategy.

We’ve been doing very well in the community vote so far. Voting closes tomorrow, January 14th, so we’d really welcome your support. You can vote here: http://boston2011.e2conf.spigit.com/Idea/View?ideaid=2301

I am relishing the prospect of presenting with four industry colleagues for whom I have great respect. I wasn’t given enough space in the proposal page to do my co-panelists justice, so here’s a bit more background on each:

Sharing content with KnowledgeTree

Yesterday we announced a number of significant changes to the KnowledgeTree product line-up, from new tools for accessing KnowledgeTree from Microsoft Office, our new unlimited user pricing plans (starting at $35 / month!), to new ways to easily share content.

Below you'll find details on KnowledgeTree's new content sharing features, with a full FAQ available on our support portal: How do I share content with coworkers?

What is Sharing?
Files or folders can be shared with users inside or outside your organization ("External Users") by providing KnowledgeTree with their email addresses. Sharing provides a quick and easy way to invite a user to collaborate with you around content you have developed.

What are External Users?
External Users are users who are typically not part of the organization which subscribes to KnowledgeTree, and have not explicitly been invited to your KnowledgeTree account by an administrator. External Users could be your customers, business partners, or coworkers from another business unit.

External Users have limited rights - details below.

How does the Sharing functionality differ from the Invite User functionality?
The Invite User functionality is only available to KnowledgeTree administrators, while anyone with write permission on a document can Share it.

Users invited by administrators are fully licensed users and may participate in all the functionality provided by a KnowledgeTree plan, provided these rights have been granted by an administrator.
